How we collect your personal and sensitive information

  • When you register with us we use the information provided in your registration form and or resume and or cover letter and or other documents you provide us at the time of registration.
  • We follow up either verbally or in writing or both with the list of referees you provide.
  • From time to time we might make enquiries of your former employers, work colleagues, professional associations and or registration bodies.
  • Where applicable we collect and collate the results of competency tests, medical test and other background checks including but not restricted to credit and criminal record checks.
  • While contracting through us we will follow up and request performance appraisals from your employer.
  • Requests and or inquiries made about you relating to criminal, fraud, investigation, litigation and or professional disciplinary matters.
  • Requests and or inquiries made about you relating to accidents and or incidents at the workplace either involving you or to which you are a witness.
  • We scan and do searches on social media and Google.
  • Other additional information you may provide us or we may request from you.

Standard and general information collected

  • Work position, performance and salary details
  • Work ethic, attendance (leave, illness or other absences) and commitment
  • Information about incidents in the workplace
  • Managing interpersonal and business relationships
  • Authenticity of certifications and qualifications

Where applicable and on request information collected

  • Specific management and leadership capabilities
  • Criminal, financial and or pending litigation issues.
  • Other character testimonials and references.

How we hold and store your personal and sensitive information

  • Where applicable we file paper copies in a locked filing cabinet.
  • We save all resumes, registrations, certified copies and other documents containing personal and sanative information our recruitment database.
  • Other documents which contain sensitive and personal information is saved to our Google Apps Drive.
  • We save all job and employer related information in our recruitment database and in our Google Apps Drive.
  • We back-up our data weekly to an external hard drive which we store offsite.

How we update, use and disclosure of your personal and sensitive information

We update your personal and sensitive information as follows:

  • Additional and updated information we receive from you.
  • Updates from your current employer if working through Future Work Solutions.
  • Information received about new and current litigation involving you.
  • Information received about new and current financial or criminal investigations involving you.
  • Updates on social media and or Google.

We use your personal and sensitive information for the following:

  • To help you find employment opportunities with current roles.
  • For coaching, mentoring and training purposes to help you grow and develop your career.
  • To help us best deal with and interact with you while on assignment through Future Work Solutions.
  • For reverse marketing purposes, to ensure we link you with the right companies and best opportunities.
  • To make sure we maintain the highest standards when it comes to client relationship management.
  • For staff training and engagement, in other words to make sure all staff at Future Work Solutions deal with you in the best possible and treat you with due care and respect.

We disclose your personal and sensitive information as follows:

  • Information relevant to the role which you have applied for after you have been shortlisted and an interview or start date has been discussed.
  • We may disclose personal information for a secondary purpose however only with you explicit consent in writing.
  • At your request to a party which you have nominated such as a credit provider for the purpose of buying, renting or otherwise acquiring a product or service.
  • Where we are under a legal duty to do so, including circumstances where we are under a lawful duty of care to disclose information.

Access to your personal and sensitive information

  • All our recruitment and management staff.
  • Our system administrator and personal assistants.
  • Our accounting and legal service providers.
  • Some of our contractors, most specifically those in accounting and IT roles.

Your rights to ask questions and access to your personal and sensitive information

Subject to some exceptions that are set out in the National Privacy Principles, you are entitled to access the personal and sensitive information that we hold about you.

Exceptions and where we are required to refuse access is where this conflicts with the privacy rights of other persons or if it breaches any confidentiality that attaches to that information.

If you wish to obtain access to your personal information you should contact us as listed below.

To access this information you need to:

    • Give us sufficient time to retrieve and review your personal information as detailed below.
    • You must present yourself in person to a nominated office.
    • You must provide photo identity and other collaborative documents.
    • You must be prepared to verify that you are not carry any copying, scanning or recording device for the purpose of replicating the documents.
    • If you want copies, depending on the document we may provide you copies as a fee.

Due to the sensitive nature of this information, applications for access can take up to 14 days. Please bear in mind that we need to review your personal and sensitive information to make sure that you are only given access to information which is within the agreed framework and conforms to the Australian Privacy Principles.
